Open SpreadsheetStep 1: Make your own copy. Open the spreadsheet and go to File > Make a copy.
Step 2: Set up your content pillars. Before filling in a single post, define 4-5 recurring themes your brand will rotate through. Examples: educational tips, behind-the-scenes, product or service showcase, customer testimonials, team culture. Pillars prevent your feed from feeling random and make it much faster to decide what to post each week.
Step 3: Map out the calendar. Fill in the Date, Platform (Facebook, Instagram, LinkedIn, TikTok), and Content Type (image, video, reel, story, carousel) for each planned post. Block out key dates first, launches, promotions, public holidays, and industry events relevant to your audience.
Step 4: Write your caption drafts. Add a draft caption for each post in the Caption column. Lead with a hook in the first line, the first 125 characters are visible before the ‘more’ cut-off on most platforms. End with a clear call to action.
Step 5: Add asset links. In the Assets column, add the file path or drive link for the image or video belonging to each post. This keeps your designer or social manager on the same page, no more hunting through shared drives for the right file.
Step 6: Track status. Use the Status column (Draft / Approved / Scheduled / Published) to manage the workflow. A quick scan of the planner each Monday morning shows you exactly what’s going out that week and what still needs work.
Step 7: Review and update weekly. Block 30 minutes every Monday to review the coming fortnight. Update statuses, adjust timing if needed, and draft any posts that are still blank. Consistency is the single biggest driver of organic social media performance.
